How AI search picks your accountant
When someone about to entrust their taxes, their books, a payroll run, or an IRS notice to you asks ChatGPT, Perplexity, or Gemini “find me an accountant near me,” the assistant doesn’t pick at random — it reads what’s findable about every firm in town and names the ones it can describe with confidence. Here are the seven accountant-specific things it reads, and how to fix each one yourself. No one can promise you a recommendation. But every one of these is fixable by you, for free.
One page per service line, not a homepage with a stock calculator photo“Tax accountant near me,” “CPA for small business,” “bookkeeper for restaurants,” “payroll service for contractors” — assistants match these exact queries to real pages. A homepage listing every service under one “Services” tab, with stock photos of calculators and handshakes, is not a match for any of them. One focused page per service you genuinely do — tax prep, bookkeeping, payroll, small-business accounting, IRS representation, audits and reviews — plus the client situations you serve, is the highest-leverage visibility work an accounting firm can do.
Fees stated in plain English, not “call for a quote”“How much does a CPA cost,” “how much to file a business tax return,” “bookkeeper monthly cost” — the words cost and price dominate accounting searches. State your numbers in text: tax return starting prices, monthly bookkeeping tiers, payroll per-employee pricing, hourly consulting rates. “Small-business returns start at $750; monthly bookkeeping from $350” is something an assistant can quote verbatim; a firm that hides everything behind a contact form invites the searcher — and the machine — to guess wrong or move on.
Credentials in text — CPA, EA, and who actually signs the return“CPA near me” vs “tax preparer” is a trust line assistants can only draw from published facts. Publish the credential plainly: CPA or Enrolled Agent, a PTIN for every preparer, AICPA or state-society membership — and who actually prepares and signs each return. “Every return is prepared by a CPA and reviewed by a partner — PTINs published” is a quotable fact; “your trusted tax professionals” is a slogan nobody can verify.
Tax-season capacity stated honestly, not discovered in MarchThe cruelest accounting visibility gap is seasonal silence: “does my accountant take new clients in tax season?” Publish the reality — year-round firm vs seasonal practice, the deadline to onboard for an on-time return (“book by February 1 for a March filing”), and what happens with extensions. “Accepting 20 new tax clients through February 1; after that we file extensions with October completion” is quotable; a January plea for referrals followed by radio silence reads as overwhelmed.
Reviews that name the engagement, not the firm“She got my restaurant through a sales-tax audit with zero penalties” is the review that gets quoted to someone in the same situation. “Great accountant!!” tells nobody anything. Ask satisfied clients after a milestone — a clean audit, a big refund recovered, a payroll mess untangled — and make it easy: a short link in the post-delivery follow-up. A steady trickle of engagement-specific reviews beats a burst of five-star one-worders, and assistants read the words, not the star count.
Industry specialization in words, not a logo strip of sectors“Accountant for dentists,” “CPA for construction companies,” “bookkeeper for restaurants,” “e-commerce accountant” — assistants match these niche queries to pages that say the industry plainly and speak its specifics: contractor job costing, restaurant sales tax, dental practice valuations, e-commerce multi-state nexus. A logo strip of twenty sectors is nobody’s match; one page per niche you truly serve — with the jargon that proves you know it — is.
Town-by-town coverage and honest availability“Accountant in Bethlehem” only matches pages that actually say Bethlehem — say which towns and counties you serve in person, and whether you work remotely with clients anywhere. Add honest availability: taking new tax clients now, a bookkeeping waitlist, or specialty-only this quarter. “CPA firm serving the Lehigh Valley in person and clients in 30 states virtually” is quotable; silence reads as either inactive or drowning.
Quick answers
Can ChatGPT recommend my accounting firm?
No. There is no paid referral slot, ad setting, or profile trick that buys a recommendation — and anyone selling you one is selling fiction. Assistants name the firms they can find, read, and trust. This page is about making that information easy to find.
My practice runs on referrals. Isn't that enough?
Referrals get you shortlisted; published facts keep you on it. Before any referral call, the prospect runs a second-opinion search: “should I switch accountants,” “is my CPA too expensive,” “accountant near me for small business.” Whoever has quotable fee schedules, published credentials, industry pages, and engagement-specific reviews gets named. Referrals bring the introduction; published facts survive the verification.
